Payment failures and recovery

How WarnFire handles an unpaid new seat, a failed workspace renewal, and successful billing recovery.

WarnFire distinguishes trial expiry, a payment failure for a newly added seat, and a failed renewal for the whole workspace. None of these paths deletes workspace data.

Trial expiry

The standard trial lasts 14 days.

  • At the trial end, paid SMS and voice sends stop. Free push and email can continue during the access grace period when the escalation policy selects them.
  • The workspace remains accessible for 24 hours so its billing state can be recovered.
  • If no verified paid state exists when that grace period ends, WarnFire suspends ordinary workspace access. An enabled owner can still sign in to reach billing recovery.

A verified paid state established during the grace period restores normal paid-channel eligibility without recreating the workspace.

Unpaid new seat

When a Team, Business, or per-seat Enterprise workspace adds a seat and the added charge cannot be reconciled, WarnFire starts a 72-hour grace period for that seat.

  • The workspace owner receives billing notices during the grace period.
  • Existing paid seats remain enabled.
  • If payment is still unresolved after 72 hours, only the unpaid seat is disabled.
  • A successful reconciliation clears the grace record and re-enables a seat that WarnFire disabled for this payment failure.

The workspace is not suspended merely because one added seat is unpaid.

Failed workspace renewal

A failed renewal starts workspace-level dunning:

Billing restriction preserves read access but blocks workspace mutations until billing is repaired. A suspended workspace limits access to identity and billing recovery functions. This preserves a path for the owner to repair the account without allowing normal incident operations to continue indefinitely on an unpaid subscription.

Recovery

After Stripe reports the subscription as current, WarnFire clears workspace restrictions and applicable seat grace records. The owner should confirm the restored state on the Billing page before relying on paid notification channels.

Comped workspaces do not process subscription or per-seat charges. Comped status is managed by WarnFire and is not a workspace self-service setting.

Review the reconciled fields in Billing overview . If the subscription remains past due after the external billing record shows a successful payment, contact WarnFire support .
