Connect Zoom to WarnFire
Add, configure, use, and remove WarnFire's Zoom meeting and Team Chat integration.
Before you begin
You need a WarnFire workspace, tenant-owner or tenant-administrator access, and a Zoom account authorized to install the admin-managed WarnFire app. Your Zoom administrator may need to approve the installation. Meetings use the connected Zoom user as host and remain subject to that account’s licenses and security policies. The integration must be enabled by your WarnFire operator.
Add and authorize WarnFire
- Sign in at app.warnfire.com .
- Open Integrations → Zoom and select Connect Zoom.
- Sign in to the intended Zoom account, review the requested permissions, and authorize WarnFire. Return to WarnFire when authorization completes.
- Confirm the connection shows Connected, then select Check Zoom setup. Review meeting, channel, invitation, and cleanup permission results.
- Finish Team Chat verification at the top of the Zoom settings page. After authorization or reconnecting, WarnFire automatically sends a confirmation message. Open your private WarnFire chat in Zoom and select Confirm connection on the newest message. Incident cards and Team Chat actions remain blocked until confirmation. If delivery fails, follow the visible recovery instructions instead of creating another incident.
- Under Connect your name to Zoom, select your name in WarnFire and choose Send confirmation to Zoom. In the private WarnFire chat opened by the page, check your name and select Yes, this is me. The page updates when the link is complete. This links the Zoom login used to connect the workspace; it does not grant additional incident access. For a different person’s Zoom login, expand the separate linking instructions and give the command only to that person. Select WarnFire with the flame icon when entering the command in Zoom.
Connecting an account does not select Zoom as the incident room provider. Select Use Zoom for new incidents when ready. Existing incidents retain their original provider. Enable Create Zoom war rooms automatically if new eligible incidents should create rooms without a separate request.
Verify it worked
Confirm the Zoom settings page shows Connected and Team Chat verified. Create a room for a synthetic test incident and confirm its incident card appears in the private channel. Open the meeting link and verify the expected host can start the meeting. Room creation alone does not verify card delivery.
Use incident meetings and Team Chat
Open an incident and request its Zoom war room. WarnFire creates a meeting and a private Team Chat channel. Creation can take time; the incident refreshes its room status. Use Join Zoom meeting once the meeting is ready. Meeting links also work from the WarnFire mobile app and open Zoom.
The connected host starts the meeting. When a waiting room is enabled, the host admits participants in Zoom. Joining the WarnFire response team is separate from entering a Zoom meeting. Scheduling an assistance response does not join either one automatically.
In an incident’s dedicated Zoom Team Chat channel, add an explicit note with
/warnfire note Your note text. WarnFire uses the verified channel binding;
you do not need to copy the incident ID. This requires a linked identity with
incident access or workspace owner/administrator authority. Shared or unknown
channels cannot guess an incident. The previous full-ID form remains supported
when the incident belongs to that same verified conversation.
Team Chat receives incident cards, notes, and status updates. Authorized linked responders can acknowledge incidents, request assistance, answer requests, and resolve incidents through the available card controls. A Zoom identity or channel membership alone does not grant WarnFire incident permissions.
When configured to close rooms after resolution, WarnFire ends and removes the meeting and archives the private channel after the configured delay. Archived channel history is preserved in Zoom. WarnFire does not provide recording, transcription, or in-meeting chat through this integration.
Troubleshoot a connection
- If Zoom settings are unavailable, contact your workspace administrator or WarnFire support to check whether the integration is enabled.
- If permissions are incomplete or the connection requires authorization, select Reconnect Zoom, consent to the required scopes, and run Check Zoom setup again.
- If a participant is waiting for the host, have the connected host start the meeting and admit the participant through Zoom.
- If a private channel is unavailable, check the responder’s linked Zoom identity and channel membership. Do not repeatedly request a new room.
Disconnect and remove WarnFire
To disconnect in WarnFire, a workspace owner or administrator opens Integrations → Zoom and selects Disconnect Zoom. This removes WarnFire’s stored connection credentials and cancels pending authorization. Disconnecting is not a request to delete existing Zoom meetings or chat history.
To remove the app from Zoom:
- Sign in to Zoom App Marketplace .
- Open Manage → Added Apps. An account administrator can also manage account installations under Apps on account.
- Find WarnFire, select Remove, and confirm the removal.
Removing the Zoom app revokes its authorization. Reinstalling requires a new connection and verification; old authorization is not restored automatically. For personal-data requests, see Privacy choices .
Support
For setup or incident integration issues, visit WarnFire support or email support@warnfire.com . Include the incident ID and approximate time of the issue. Never send passwords, OAuth tokens, or meeting host links.
Next step
Review workspace operational settings to configure incident room selection and closure defaults.
